A. Deposit
All tours require 50% down payment to secure the admissions, vehicles, guides, and restaurant reservations.
For tours departing from Yogyakarta or Bali, guests must pay an advance of 50% of the total tour cost to secure their reservation. This advance payment is non-refundable.
B. Payment Upon Arrival
The unpaid balance of the tour price must be settled in IDR cash directly with the tour guide at the beginning of the trip.
C. Accepted Payment Options
We only accept payment through:
- Wise or Revolut to bank account (manual bank transfer, because Wise & Revolut are restricted or unavailable in Indonesia)
- Cash in IDR
A. Cancellation Requested by Guests
The refund percentage depends on how far in advance the cancellation request is submitted relative to the scheduled tour date.

B. Refund Calculation
All refunds are determined using the net amount received by Club East after deducting applicable PayPal charges and fees imposed by other payment service providers.
For example, if a reservation was paid through PayPal and transaction fees were deducted, the relevant refund percentage will be calculated from the amount received by Club East rather than the original amount charged to the guest.
A. Leaving a Tour Early
Once a tour has commenced, guests who decide to discontinue their participation voluntarily will not be eligible for a refund, regardless of the reason for their departure.
B. Natural Disasters and Unexpected Events During a Tour
If a tour is disrupted by an incident such as an earthquake or landslide after departure, Club East will make reasonable efforts to arrange an alternative itinerary or solution.
If no alternative arrangement can be agreed upon, refunds will be limited to entrance fees for destinations that cannot be visited, as specified in this policy.
C. Weather Conditions and Visibility
Weather is an external factor that Club East cannot guarantee or control. Although weather forecasts are monitored, conditions in mountainous destinations, including Mount Bromo, can change unexpectedly.
Tours may continue during the rainy season because favorable weather, clear views, and sunrise opportunities may still occur despite unfavorable forecasts.
Guests should understand that poor visibility, rain, cloud cover, or other weather-related conditions may affect their experience. Such circumstances do not qualify for a refund or price reduction.
D. Customized Tours and Special Arrangements
Reservations involving personalized itineraries, private group arrangements, special requests, tailor-made experiences, or packages not published on the Club East website may be governed by separate cancellation and refund conditions.
The applicable terms will be determined according to the specific booking arrangement and the commitments made to third-party providers, including accommodation, transportation, permits, admission tickets, and other services arranged in advance.
Any special refund conditions will be provided to guests separately before their reservations are confirmed. Guests should review these terms carefully before proceeding with payment.
E. Customer Acknowledgment
By proceeding with a reservation, guests acknowledge that outdoor and mountain excursions involve conditions that cannot be fully predicted or controlled, including the possibility of unfavorable weather and changes to the planned experience.
Club East shall not be held responsible for interruptions, cancellations, or changes arising from extraordinary circumstances outside its reasonable control. These may include natural disasters, armed conflicts, government restrictions, and comparable events.
Where circumstances permit, Club East will seek to provide alternative arrangements. However, refunds are not guaranteed in these situations, except for eligible entrance fees covered.
The published itinerary may be modified when necessary due to unexpected developments, including severe weather, inaccessible roads, safety concerns, or other operational restrictions.
Club East will endeavor to arrange reasonable alternatives that allow the tour to continue where possible. Any additional expenses resulting from the revised arrangements will be borne by the guest.
Guests are encouraged to purchase suitable travel insurance before participating in any tour. Coverage should ideally include medical treatment, accidental injuries, and the loss of or damage to personal belongings.
Club East will not be responsible for expenses or losses that arise because a guest has not obtained appropriate insurance coverage.
Each guest is responsible for assessing their physical condition and ensuring they are sufficiently fit for the activities included in their chosen tour.
Relevant medical conditions must be disclosed during the reservation process so that any necessary precautions can be considered. Club East retains the right to deny participation when a guest is considered medically or physically unfit to undertake the tour safely.
The possession or consumption of illegal substances during a tour is strictly forbidden.
If a guest is discovered possessing or using prohibited illegal substances, Club East may immediately end their participation without issuing a refund. Any legal consequences arising from the incident remain the responsibility of the guest.
